•       With other service providers who assist us in operating our website or communications, under confidentiality agreements

•       As required by law, regulation, court order, or government authority, including state insurance department requests

•       In connection with a business transfer, merger, or acquisition — in which case we will notify you

6. Technology Infrastructure & Data Security

Wortman Strategies, LLC engages TeamLogic IT of Lincoln (Foresight Resources Group, LLC) as our managed IT services provider. Our technology infrastructure includes the following security measures:

• 24/7/365 network monitoring and security operations center (SOC)

• Endpoint protection including antivirus, anti-malware, and managed detection and response (MDR)

• Encrypted cloud backup using the 3-2-1 method — three copies, two local, one cloud — with bi-annual restore testing

• Email filtering, security scanning, and archiving through Microsoft 365 Business Premium

• VPN and multi-factor authentication (MFA) enforced across all accounts including administrative accounts

• DNS filtering, dark web monitoring, and simulated phishing training

• Mobile device management (MDM) for devices accessing Microsoft 365

• Administrative privileges separated from daily-use accounts

• Cybersecurity practices aligned with NIST and HIPAA frameworks

• Annual HIPAA Security Risk Assessment as required under HIPAA administrative safeguards

Please note that some services provided by our IT provider may be performed by personnel or on servers located outside of the United States, as permitted under our managed services agreement. By using our website and submitting your information, you acknowledge and consent to this possibility.

9. Data Retention

Wortman Strategies, LLC retains personal and business records in accordance with applicable state insurance regulations. As a licensed producer in Nebraska, Iowa, and Arizona, we retain records related to insurance transactions for a minimum of five years following the completion of each transaction, which satisfies the retention requirements in all states where we are licensed.

When information is no longer required under applicable retention rules, we dispose of it securely.
